How Many Buffer Days Should You Build
Into a Film Shoot in Nepal?

A realistic Nepal shoot schedule should contain more than camera days. As a practical starting point, allow one buffer day for a short urban production, two to four flexible days for a mixed city-and-mountain shoot, and roughly 20–30% contingency within an expedition-style field calendar. These are planning guidelines rather than fixed rules: the correct number depends on access, domestic flights, altitude, company moves and how many scenes can be switched when conditions change.

The biggest scheduling mistake is simply adding up the scenes, estimating the shoot days and booking international flights immediately around them. In Nepal, the safer approach is to build the calendar around shoot days, company moves, acclimatization, flexible holds and recovery options separately.

Why Nepal Production Schedules Need More Than Shoot Days

Nepal can place a production in very different operating environments within one project. A crew may work in Kathmandu at approximately 1,400 metres, move into the lowland environment of Chitwan and then continue towards high-altitude Himalayan locations.

Those days are not interchangeable.

A ten-day production should therefore not automatically become ten consecutive filming days. A well-designed schedule protects the expensive camera days by identifying which days can absorb transport problems, delayed access, crew fatigue or changing exterior conditions.

Separate Shoot Days From Company-Move Days

A company move is not a buffer day.

If the crew spends a day travelling from Kathmandu to another region, transferring equipment, checking accommodation and preparing the next location, mark it as a company-move day. Do not quietly assume that meaningful filming can also happen unless the location scout has confirmed it.

Scheduling them separately also makes the production budget more accurate: accommodation, drivers, local crew, equipment hire and per diems continue even when the camera is not rolling.

When Domestic Flights Affect Your Schedule

Domestic flights can compress long journeys, but a flight-dependent production needs flexibility around the sector.

For a mountain sector dependent on a domestic flight, consider placing one or two floating days around the transport block, particularly when missing that flight would affect several subsequent shoot days.

Avoid scheduling a critical mountain scene immediately after the expected arrival flight. Equally, do not plan an international departure only hours after returning from a flight-dependent remote location.

How Altitude Changes a Production Calendar

Altitude days should be designed around human performance, not just distance travelled.

Acclimatization

Flying or trekking higher does not mean the crew is immediately ready for a full production day. CDC guidance recommends gradual ascent and, once above 3,000 metres, limiting increases in sleeping altitude to around 500 metres per day while allowing additional acclimatization time as elevation increases. It also recommends only mild exercise during the first 48 hours at altitude.

For high-altitude productions, acclimatization belongs in the master schedule rather than being treated as optional downtime. Medical and altitude planning should also be reviewed by appropriately qualified professionals.

Reduced working windows

A mountain location may offer fewer effective filming hours than an urban set. Walking to the position, moving equipment manually, changing batteries, controlling exposure to cold and returning before conditions deteriorate all consume time.

Do not schedule a Himalayan field day at the same scene density as a controlled Kathmandu day.

Crew performance

Acclimatization improves comfort and submaximal endurance, but maximum physical performance remains reduced at altitude. That affects camera teams, sound recordists, talent, porters and production staff alike.

A schedule that appears efficient on paper can therefore create slower setups, more mistakes and eventually lost days if recovery time is ignored.

Urban, Jungle and Mountain Shoots Need Different Buffers

Different locations require different schedule architecture.

For Kathmandu and other controlled urban shoots, one flexible day can often protect a three-to-five-day exterior schedule. The main variables are traffic, public access, crowd control, location permissions and continuity.

For Chitwan and jungle productions, schedule flexibility should account for field access and the unpredictability of wildlife. A hold day can also be used for interviews, controlled cultural sequences, establishing shots or technical preparation.

For Annapurna, Lukla or the Everest region, increase flexibility substantially. Mountain access, trekking, domestic aviation and acclimatization introduce dependencies that do not exist on a city shoot.

Build Weather Holds Without Wasting Crew Days

A weather hold should not automatically mean an idle crew.

Place flexible days where they can protect several scenes rather than attaching a separate contingency day to every exterior. For example, schedule three exterior days followed by a floating fourth day. If the first three work, the fourth can become pickups, B-roll, interviews or an early move.

Create Backup Scenes for Lost Exterior Days

The strongest contingency plan is not simply “wait until tomorrow.”

Every vulnerable exterior day should have at least one workable alternative: an interior scene, controlled interview, insert photography, equipment tests, archive review, location recce, voice recording or nearby B-roll.

Production management should identify these backup scenes during script breakdown. Props, cast, permissions and equipment must be available for them; otherwise they are not genuine backups.

These ranges are useful starting points, not universal formulas.

Short urban shoot

For 3–5 shooting days in Kathmandu:

3–5 shoot days + 1 flexible buffer day

Add company moves separately if locations extend outside the valley.

Mixed-city and mountain shoot

For a production combining Kathmandu with Annapurna, Lukla or another mountain region:

6–10 shoot days + 2–4 buffer days, plus dedicated company-move and acclimatization days where required.

Keep at least one floating day close to any flight-dependent mountain sector.

Expedition production

For extended Everest, high-Himalayan or remote expedition filming:

Build approximately 20–30% contingency into the field calendar, then schedule acclimatization and major company moves separately.

A 20-day expedition calendar should therefore not be interpreted as 20 available shoot days. Several days may exist primarily to protect the days on which the production must capture irreplaceable material.

Questions Producers Should Answer Before Locking the Schedule

Before confirming flights, crew contracts and equipment rentals, the producer and line producer should be able to answer:

  • Which days are actual shoot days, and which are company moves?

  • Which locations depend on domestic flights or helicopters?

  • What happens if a crew reaches a location one day late?

  • Where does altitude require acclimatization or reduced workloads?

  • Which exterior scenes are essential and which can move?

  • What backup scenes are genuinely production-ready?

  • Can accommodation, vehicles and equipment rentals extend if a hold day is activated?

  • Is there enough flexibility before the international departure date?

The objective is not to make a Nepal film shoot unnecessarily long. It is to make every paid production day more dependable.

A good Nepal shoot schedule absorbs predictable uncertainty before it reaches the camera department. With the right buffer days, company moves and backup scenes built into the calendar, producers gain better cost control, crews work more effectively and weather or transport disruptions are less likely to become full production delays.
